Work orders, tasks and teams

Every job has an owner and a next step

Bring work orders, teams and approvals into a system tailored to your company, from the first inspection to handover and a complete service history.

Explore the solution

01 / Who it is for

When a phone call is the only way to check progress

One specialist leaves for a visit without the customer’s latest note. Another has finished, but the manager only finds out that evening. We design a shared place for the information that travels with each job, so handovers do not depend on memory. A small team may need simple assignment and a quick inspection record. Across several teams or locations, we define responsibilities, job queues and visibility for each branch. Statuses follow actual work: a job waiting for parts should be clearly different from one being carried out.

02 / What the project can include

The right information, from assignment to handover

01

Planning and ownership

We organise jobs around deadlines, priority, required skills and team availability. Each job has a clear owner, while assignments can change when an urgent request arrives or another specialist is needed, with a record of those decisions.

02

A complete service record

We bring findings, tasks, documents and photographs into one job record. Together, we decide what must be completed before the next stage and which information each role can see, so colleagues share the same account of the situation.

03

Approval and completion

We define when customer or manager approval is needed, how it is recorded and what prevents work from proceeding. At handover, the result, notes and agreed confirmation are retained, giving any later return visit a clear starting point.

03 / Illustrative example

Illustrative example: a maintenance visit

Imagine a company maintaining equipment at customer premises. A manager assigns a visit and attaches the reported issue. The specialist records the fault, adds photographs and proposes a repair. An extra part is needed, so the order moves to awaiting approval. Once approval and the part are available, the manager schedules the work. The specialist records the repair, and handover is confirmed in the agreed form. In the proposed solution, the manager can see the reason for any delay, and the next visitor can consult the service history instead of piecing together conversations.

04 / How we work

We start with a real job

  1. 01

    Follow the journey

Together, we walk through a recent order from request to handover, identifying missing information, decisions and the points where work tends to stop.

  2. 02

    Define stages and roles

We agree who assigns, performs and approves work, along with statuses, required fields and rules for postponing, cancelling or reopening a job in practice.

  3. 03

    Configure and check

We prepare the appropriate tool and test an ordinary job with your team, alongside exceptions such as missing parts, declined approval or a replacement specialist.

  4. 04

    Introduce it to daily work

We train each role on its tasks, start with an agreed process and refine forms and notifications using feedback from everyday work with the system.

05 / What you receive

What your team receives

  • A tailored work order record with stages, ownership, documents and history.
  • A planning view and job lists for the agreed roles.
  • Tested approval and handover rules, with practical guidance for the team.

What the project can include

What we agree before implementation

  • Phone access, a mobile app, location tracking and offline work are scoped separately; they are not included by default.
  • We define what approval and handover mean for your company and whether stock, invoicing or customer records need to be connected.
  • We decide who can view photographs and customer information and how long these records should be kept.

Where we start

Discuss your project

Show us a work order with personal information removed, and explain who receives it, who carries it out and where it most often gets stuck. We will start with that journey.
