Client and partner portals

Each collaborator finds the information they need

We build portals for requests, documents and approvals, giving each client or partner access to their own work and a clear next step.

Explore the solution

01 / Who it is for

When every update means another phone call

A client asks whether work has started, a manager searches for the latest estimate, and a partner sends a document in a separate conversation. The information exists, but the person waiting for it cannot find it independently. For a small team, a portal can bring the request, documents and client confirmation together. For a company with several branches or distributors, organisation accounts, representative permissions and separate order access become essential. We define what each user needs to do while keeping internal information and other clients' records private.

02 / What the project can include

A clear space for each working relationship

01

Requests and job status

We define how a client submits a request, what they attach and which stages they can follow. Useful client updates stay separate from internal notes, with a clear indication of who needs to act next.

02

Documents and approvals

We organise estimates, files and versions that can be viewed or approved. Together we define who may confirm, what confirmation means and how both sides can consult the history without mistaking an old version for the current one.

03

Client and partner access

We design individual accounts and access by organisation, role or order. A partner sees only assigned work, while an administrator can withdraw access when a working relationship ends or a person's responsibilities change.

03 / Illustrative example

Illustrative example: an estimate approved in the right place

Imagine a business repairing equipment for other companies. A client submits a request and photos, then sees when assessment begins. The team publishes an estimate in the client's account, where an authorised representative approves it or requests changes. A partner carrying out part of the job sees only their assigned order and the documents they need. At completion, the client finds the service report in the same place. This proposed process keeps questions, versions and confirmations attached to the job, while internal notes stay with the team.

04 / How we work

Start with real relationships and responsibilities

  1. 01

    Define who has access

We identify clients, partners and their representatives. For each role, we agree which information is visible, which actions are allowed and who grants or withdraws access.

  2. 02

    Choose useful journeys

We select the first situations worth moving into the portal, such as reviewing an estimate or submitting a request. We map steps, notifications and cases requiring staff attention.

  3. 03

    Connect the information

We establish where orders and documents come from, who updates them and which version the client sees. Pages and actions follow these agreed working rules.

  4. 04

    Check different roles

We test account separation, access withdrawal and journeys with representative users. We resolve confusing steps before expanding use and train the people who will administer the portal.

05 / What you receive

What your company receives

  • A portal adapted to the agreed journeys, with pages for requests, documents and status updates.
  • An implemented and tested access matrix for clients, partners and administrators.
  • Connections to agreed information sources and guidance for managing accounts and content.

What the project can include

Decisions to make before implementation

  • Approving something in a portal and signing a document are distinct actions; we define the requirements for each separately.
  • Information freshness depends on its source and the person maintaining it; we agree what clients see when data is missing.
  • The portal is a solution for your company. The VERIQON TECHNOLOGIES website remains a corporate presentation site without client accounts.

Where we start

Discuss your project

Choose a question your clients keep asking and a document you regularly approve with them. We start with anonymised examples of both and the roles involved in the exchange.
