Recurring report collection and distribution

Reports on schedule, missing data in plain sight

We automate recurring report collection, checks and distribution, with clear sources, agreed recipients and explicit flags for missing or outdated data.

Explore the solution

01 / Who it is for

The meeting is starting. The report is still being assembled.

Someone is chasing files, another person sends a corrected version, and the manager is waiting for the totals before starting the meeting. In a small team, one person repeatedly rebuilds the same activity report. Across multiple branches, comparability becomes an additional concern: different periods, old records and information arriving after the deadline. We build a process for recurring reports with identifiable sources. Together, we establish ownership of each dataset and make sure recipients can tell whether the picture they receive is complete or still provisional.

02 / What the project can include

From reporting deadline to the right recipients

01

Scheduled collection

We define the reporting period, cutoff time and accepted sources. The process collects available data and tracks expected inputs, helping prevent one week's report from silently including another period or an outdated version of the information.

02

Checks before totals

We check completeness and agreed rules before calculation. Missing, outdated or incompatible inputs are flagged separately. Partial totals remain identifiable, while the person responsible receives a clear request to correct the affected source under the agreed process.

03

Controlled distribution and revisions

Reports reach agreed recipients with their period and status clearly shown. We define what happens when corrections arrive after delivery: issuing a new version, notifying the relevant people and keeping a record of the version they received.

03 / Illustrative example

Illustrative example: the weekly branch report

Imagine a service business preparing a weekly summary of completed and pending jobs. At the agreed deadline, the process collects each branch's data and checks the period covered. One branch has not updated its jobs. Under the agreed rule, the report goes out as provisional, explicitly showing that gap, while the responsible person receives a notification. Once the information arrives, a revised version is issued. The director can prepare the discussion using available figures and knows which conclusions must wait, without mistaking missing information for an absence of activity.

04 / How we work

First, agree what makes the report correct

  1. 01

    Define the report

We start with a report your team already uses: the decisions it supports, its reporting period, its readers and the person who confirms each indicator's definition.

  2. 02

    Agree sources and timing

We identify sources, owners and the collection deadline. We agree how to recognise current information and what happens when a team misses its submission time.

  3. 03

    Trial a complete cycle

We compare the generated report with a summary checked by your team. Missing inputs, duplicates and late corrections are tested before scheduled distribution is activated.

  4. 04

    Monitor and refine

We activate the agreed schedule and monitor the first reporting cycles. We establish who receives failure alerts and who approves changes to structure or recipients.

05 / What you receive

What your team receives

  • A collection and distribution process with a defined schedule and owners.
  • A recurring report showing its period, sources and completeness status.
  • Documented rules for missing inputs, retries, corrections and recipient access.

What the project can include

Decisions that preserve the meaning of the numbers

  • Report definitions and formulas belong to the software solution; automation organises report production and distribution.
  • We agree whether missing inputs block delivery or allow a clearly provisional report. Missing data does not automatically become zero.
  • AI-generated commentary can be added separately, without replacing approved formulas or source checks.
