System integration and data synchronisation

Consistent information wherever your team needs it

Connect business systems to transfer customers, orders and stock information with clear update rules, visible errors and controlled recovery.

Explore the solution

01 / Who it is for

When teams see different versions of the same order

A manager corrects a customer address, but the warehouse still sees the old one. An order is copied twice, and two reports show different totals. In a small team, one person spends time moving information between tools. Across several departments, every change triggers more messages and checks. We examine these handover points and establish what information should move, who may change it and where the reference version belongs. The aim is to let each team work with consistent records without repeatedly entering the same details.

02 / What the project can include

Clear rules for every record that moves

01

An agreed source of truth

We establish where each type of information is maintained: customer details, orders, availability or delivery. We define update directions and how simultaneous changes are handled, so one system does not accidentally overwrite a valid correction.

02

Matching without duplicate records

We define how to recognise the same customer or order across different systems. Required fields, duplicate checks and retry rules are agreed together, so sending a record again does not unintentionally create a second order.

03

Visible errors and reconciliation

A failed transfer needs an explanation and someone responsible for resolving it. We prepare discrepancy records, correction steps and controlled retries. Periodic comparisons help identify records that have fallen behind or transfers that still lack confirmation.

03 / Illustrative example

Illustrative example: a confirmed sale reaches the delivery team

Imagine a business recording sales in one system and preparing deliveries in another. Once confirmed, an order is checked, matched to the existing customer and passed to operations. If required information is missing, the case stays visible for correction instead of being reported as a successful transfer. After correction, the transfer resumes without creating a duplicate order. Receipt confirmation and, where supported, delivery status return to sales. The salesperson can then answer the customer using the same order status that the warehouse sees.

04 / How we work

How we establish a dependable data exchange

  1. 01

    Trace the current handover

We identify the systems, people and information involved in a specific transfer. We check connection capabilities and available access before defining the proposed solution.

  2. 02

    Agree the rules

We choose reference sources, record identifiers and update directions. We decide how incomplete records, simultaneous changes and temporarily unavailable systems should be handled.

  3. 03

    Validate a complete journey

We prepare one defined connection and check transfers, confirmations, duplicates and errors. Your team confirms the outcome in both systems before the scope expands.

  4. 04

    Prepare everyday operation

We establish who monitors errors, how differences are corrected and how transfers resume. We document recurring checks and the conditions that require the connection to be reviewed.

05 / What you receive

What your business receives

  • A map of transferred data, reference sources and approved update rules.
  • The agreed connections, checked against normal transfers, duplicates and failure cases.
  • Transfer records and a procedure for correction, retries and reconciliation.

What the project can include

What we check before connecting systems

  • Connection depends on the access and capabilities each system allows; not every application can be integrated.
  • Update frequency and direction are agreed for each flow; instant or two-way synchronisation is not assumed.
  • Existing data cleanup, historical transfers and permission to resolve conflicts are scoped separately.
