AI document processing

Different documents. Information ready for review.

Turn invoices, requests and forms into organised information, with extracted fields, document categories and uncertain results routed for human review.

Explore the solution

01 / Who it is for

Different formats, the same repetitive work

An invoice arrives as a scan, a request as a photograph, and a form with fields left blank. Someone opens each file, finds the relevant information and enters it again. For a small team, we can prepare a single document review queue. For a business with several departments, we define categories and ownership for each document type. The aim is to focus people's attention on unclear information and decisions, while keeping the original source accessible for every proposed record.

02 / What the project can include

What we can prepare from incoming documents

01

Identification and classification

We define the document types the solution should recognise and the information used to classify them. Unfamiliar or ambiguous documents go to review instead of being forced into an unsuitable category that could misdirect subsequent work.

02

Useful fields and summaries

Together we identify the information that matters: names, dates, amounts, line items or the reason for a request. We prepare extraction and, where useful, a summary linked to the original document so reviewers can check its context.

03

Review before recording

Missing information, contradictions and uncertain results are separated from fields ready for confirmation. We agree who reviews them and which conditions must be met before information enters company records or moves into another business process.

03 / Illustrative example

Illustrative example: an invoice received as a scan

A distributor receives a scanned invoice from a supplier. In the proposed solution, the document is identified and the supplier, date, currency and amounts are prepared for review. An unclear digit and a mismatch between totals are flagged for the responsible person. They consult the original, correct the proposed values and approve the record. The document remains linked to the confirmed information. If the scan is unreadable, the invoice is sent for clarification rather than filling gaps with guesses. Each exception has a clear next step.

04 / How we work

Start with the documents you actually receive

  1. 01

    Choose the documents

We review anonymised examples, languages, format variations and scan quality. Together we select a suitable first document category and identify the information needed.

  2. 02

    Define the output

We agree on fields, categories, review rules and ownership. We specify where confirmed information will be used and when a document requires clarification.

  3. 03

    Test varied examples

We compare results against documents checked by your team, including poor scans and incomplete forms. We refine the rules and identify results that always need human review.

  4. 04

    Introduce the process

We connect approved results to the agreed business process and prepare reviewer guidance. We track recurring errors and revisit the approach when new document types appear.

05 / What you receive

What your team receives

  • An agreed list of supported document types and required fields.
  • An extraction and review process with access to original documents.
  • Test findings, exception rules and delivery of confirmed information in the agreed format.

What the project can include

Decisions before implementation

  • Scan quality, languages and handwriting are assessed using examples; error-free extraction is not guaranteed.
  • We agree who can access documents, where they are processed and how long they are retained.
  • Records with financial or operational consequences follow the agreed approval rules; a summary does not replace the original.
