AI for company knowledge

Answers from your documents, with sources you can check

We build an assistant for team questions using approved company documents, with references to original sources and access tailored to each person's role.

Explore the solution

01 / Who it is for

When the answer exists but is difficult to find

A colleague searches several folders for an instruction, then asks the person who seems to know everything. Someone else follows an old version shared in a conversation. For a small team, we propose one place to consult essential procedures, reducing repeated interruptions to the owner. In an organisation with multiple departments, we separate information by role and responsibility. The assistant needs sources the company can stand behind. Missing or contradictory documents must be clarified before they can support useful answers, and ownership of that clarification stays with your team.

02 / What the project can include

From a question to an answer you can verify

01

Answers linked to original sources

We configure natural-language questions and answers accompanied by the relevant document and passage. Colleagues can check the explanation in context and distinguish a summary of an existing rule from a new policy the company has never approved.

02

Information matched to each role

We define which information the assistant can use for each role. Access rules apply to searches, answers and references. Testing includes questions about restricted documents, so information boundaries are checked alongside the usefulness of the answers.

03

Knowledge that stays maintained

We establish who approves sources, how obsolete versions are removed and when a new procedure becomes available. Unanswered questions and reported contradictions help the document owner improve the material without allowing the assistant to rewrite company rules automatically.

03 / Illustrative example

Illustrative example: handling a return

Imagine a new colleague receives a return request and does not know which approval is needed. They ask the assistant, which searches approved procedures available to their role. The answer explains the steps and links to the reference document. If two versions conflict, the assistant flags the uncertainty and points to the designated owner. The colleague can prepare the request using verified information; approval stays with the authorised person. This is a possible working arrangement, to be validated against your company’s documents and rules.

04 / How we work

Start with the questions your team actually asks

  1. 01

    Select the sources

We identify procedures people actually use, common questions and the people who can confirm document accuracy. We separate approved information from notes and outdated material.

  2. 02

    Define access

We agree who may consult each information category and what happens when a colleague’s access changes. We also name the person responsible for unanswered questions.

  3. 03

    Check the answers

We test real questions, ambiguous wording, conflicting sources and missing information. We check references and attempts to access restricted material before introducing the assistant to the team.

  4. 04

    Arrange ongoing updates

We hand over source-management guidance and agree regular reviews. Significant document changes trigger checks against affected questions before the updated information is accepted for use.

05 / What you receive

What we prepare for your company

  • An internal assistant configured for the agreed sources and roles.
  • A register of approved sources, owners and update rules.
  • A set of verification questions and guidance for administration and error reporting.

What the project can include

Boundaries agreed before use

  • The assistant must not fill a missing source with a guess presented as fact; it asks for clarification or reports that information is unavailable.
  • Answers do not authorise exceptions or replace decisions by responsible people.
  • We agree where information is stored, how long conversations are retained and who may review them.

Discuss your project

Choose a few questions colleagues ask repeatedly and the documents that should contain the answers. In our first conversation, we identify the available sources, their owners and the people who need access.
