Documents and quotes generated from data

One set of data. Documents ready for approval.

Prepare quotes, estimates and documents from existing records, with consistent templates, clear checks and identifiable versions before they reach the customer.

Explore the solution

01 / Who it is for

When preparing documents means copying information again

Customer details sit in one place, the job list in another, and the quote comes from a file on a colleague’s computer. Every change means revisiting totals, wording and attachments, while the version sent to the customer is not always obvious. For a small team, automation can simplify preparing and reviewing a quote. Across several departments, it can maintain shared templates while respecting different approval rules. We start with the documents people actually use and the information the team can reliably keep up to date.

02 / What the project can include

From recorded information to a reviewable document

01

Templates for each document type

We define the structure of quotes, estimates and confirmations, including required fields and approved wording variants. Customer details and commercial line items populate the appropriate document, while missing information is flagged before it reaches its recipient.

02

Explicit calculations and checks

We agree how quantities, prices and commercial terms are taken from records, which calculations apply and when a responsible person must review them. Missing or inconsistent information stops the relevant stage and becomes an exception to resolve.

03

Versions and controlled delivery

We connect each document to its request, retain the approved version and define who may send it. When details change after approval, an agreed revision process keeps the new document distinct from the version already shared.

03 / Illustrative example

Illustrative example: estimating a maintenance job

Imagine a maintenance company that has recorded the equipment, tasks and materials for a job. Once the required details are complete, the process prepares an estimate using the agreed template. If a part has no price, the responsible person receives the exception. Following review and approval, the estimate is sent through the selected channel and retained with the job. The customer then requests additional work: a revision goes through approval again. The team can distinguish the original quote from the update and identify which version was communicated.

04 / How we work

How we define the document’s journey

  1. 01

    Choose the document

We examine a real document, the sources behind its fields and common changes. We choose a first quote or estimate type with sufficiently clear rules.

  2. 02

    Define triggers and rules

We establish which event starts preparation, which information must be available, how values are calculated and who resolves missing details or inconsistencies before the process continues.

  3. 03

    Arrange approval

We agree who reviews the document, which changes require renewed approval and when it can be sent. Each document stays clearly linked to its version.

  4. 04

    Check real situations

We test routine documents, revisions and exceptions with the team. We adjust the templates and hand over the process, including corrections when the source information changes.

05 / What you receive

What we prepare for your team

  • Configured templates with each field mapped to its data source.
  • A preparation, review, approval and delivery process for the agreed documents.
  • Version rules, exception handling and a practical guide for the people responsible.

What the project can include

What we agree before implementation

  • The company supplies and approves contractual wording and commercial rules; automatic completion does not replace their review.
  • Template-based generation differs from AI extraction and AI writing of new content. We scope these separately when needed.
  • We agree on data sources, delivery channels and access rights; documents are sent only under the agreed conditions.

Where we start

Discuss your project

Show us a quote or estimate template with confidential details removed, and explain where its information comes from. We will identify which fields can be filled automatically and where human review should remain.
