AI telephone assistants

Give routine calls a clear path forward

Plan a focused AI telephone pilot for routine questions, information collection and verified bookings, with a practical handover to your team when needed.

Explore the solution

01 / Who it is for

The phone rings while your team is serving customers

Repeated questions about opening hours, availability or an existing request interrupt everyday work. In a small team, the person answering the phone may also be serving someone in person. Across several branches, callers first need to reach the right location and colleague. We assess where a narrow telephone conversation could help, what information it can verify and when a person must step in. If most calls involve negotiation or complex judgement, we choose a different starting point rather than force them into a fixed script.

02 / What the project can include

What the first call scenario can cover

01

Clarify the request

We define which caller intentions the assistant should recognise and the short questions needed to clarify them. Callers are told they are speaking with an automated assistant, and requests outside its scope have an explicit route to staff.

02

Verify before confirming

We identify the details needed for a booking or request and the source that can verify them. The assistant repeats important information for confirmation and does not describe a recorded request as an accepted booking without verified availability.

03

Hand over with context

We design the handover to a colleague with the reason for the call and details already provided. If nobody answers, an agreed callback request and clear explanation help preserve the information needed to continue the conversation.

03 / Illustrative example

Illustrative example: booking a repair appointment

A customer calls a repair workshop to book an appointment. The assistant introduces itself, asks what service is needed and checks the preferred time against the agreed availability source. It repeats the date and contact details before confirming. If it cannot verify availability, it records a request pending a staff response. If the conversation becomes a complaint, it hands over to a colleague with a summary. During the pilot, we check both booking accuracy and whether the customer can actually reach a person.

04 / How we work

From one call type to an evaluated pilot

  1. 01

    Choose the conversation

We review anonymised call examples and select one recurring request. Together, we define a correct resolution and the situations in which a colleague must take over.

  2. 02

    Set the response boundaries

We prepare questions, approved sources, confirmations and handovers. We agree how the assistant introduces itself, what it collects and how it explains that verified information is unavailable.

  3. 03

    Test realistic calls

We test the agreed languages, names, numbers, interruptions and background noise. Telephone access, unanswered calls and actual transfers are checked before the pilot starts accepting calls.

  4. 04

    Evaluate the supervised pilot

We review resolved requests, incorrect confirmations, abandoned calls and handovers. Together, we decide whether to adjust the scenario, extend it or keep human handling for that call type.

05 / What you receive

What we prepare for your team

  • A conversation scenario with approved answers, boundaries and handover rules.
  • A focused telephone pilot using agreed access and information sources, subject to feasibility checks.
  • A conversation evaluation report and a reasoned recommendation for the next stage.

What the project can include

Conditions for a useful pilot

  • Quality is tested in the actual languages and calling conditions; understanding every accent or interruption is not guaranteed.
  • Handover depends on telephone access and staff availability. We also agree what happens when a transfer cannot be completed.
  • We agree caller disclosure, retained information and any recording arrangements. The pilot does not imply full staff replacement or automated sales-call campaigns.

Where we start

Discuss your project

Describe one recurring call type, the languages used and who handles exceptions. A few anonymised examples help us assess whether a focused telephone pilot makes sense for your business.
